Special Detail Request


All requests for police and fire details must be submitted using the form below. 

Police Special Detail
The City's Special Detail rate is $65.20 per hour for police officers, if a police detail vehicle is needed, a rate of $25.00 per hour per police vehicle will be charged starting February 1, 2024. There is a 4-hour minimum for each Detail Officer and Police Detail  Vehicle.  Depending on the safety and complexity of the detail more than one detail vehicle may be needed or required.

The Newport Police Department will make the final determination on whether a special detail will or will not require a detail vehicle(s) based on the complexity of the detail, safety to the public or vendor, and/or safety of the special detail officer. If you paid for a detail vehicle(s) and one was not available, a re-imbursement will be distributed to the vendor by the City of Newport. If you did not pay/request for a vehicle, but members of The Newport Police Department required a detail vehicle(s), the vendor will be billed by The City of Newport the applicable hours for the required vehicle(s).
 
Fire Special Detail
The City's Special Detail rate is $65.35 per hour for firefighters and there is a four-hour minimum per detail. (According to state law firefighters must start their detail 30 minutes prior to the event start to do a protective sweep. Please schedule your requested hours accordingly.)
 

Any special detail that is cancelled without one hour notice to the Police and or Fire Department will result in the minimum charge of four hours for each officer / firefighter requested. (Note: for police, in this instance of cancellation the police vehicle minimum will not be charged.)  To cancel a police detail you must speak to a person, do not leave a message.  First call the Traffic Detail Office at 401-845-5730 to cancel. If no one is available or if it is after hours,  call 401-847-1306 and ask to speak to The Officer In Charge to cancel a detail.  If you have questions regarding a fire detail you can call 401-845-5920 to speak with the Fire Marshal.    
 
The Accounting Office, located in City Hall, 43 Broadway, must receive a deposit equal to the estimated cost of the detail before police and fire personnel can be assigned to the event. For questions regarding a deposit, please contact Selina Kardel at skardel@cityofnewport.com or 401-845-5371.

Details that run less than the estimated time may result in a refund to the company/individual responsible for payment.  Details will be filled based on personnel availability and public safety requirements. 

Contact the City Clerk's office at (401) 845-5340 to determine whether a special event license is necessary. This detail request form must be completed in addition to a special event license application when police officers and/or firefighters are required.


It is preferable to complete the online Detail Request Form, however if this is not possible you can fax this completed form to (401) 847-5598, (401) 841-5446 and (401) 849-8187.  No cover sheet is necessary.  Questions for police details can be directed to Sergeant Jason Head at (401) 847-1306 ext. 5728 or jhead@cityofnewport.com

Now, please calculate your estimated total deposit.
Total Deposit is calculated as: (Total Firefighter Hours x $65.35) + (Total Police Hours x $65.20) +(Total Vehicle Hours x $25)

Make check payable to:   City of Newport.   Mail to:   Newport City Hall   43 Broadway  Newport R.I. 02840  Attention: Police Details. 
 



Cash or Check payments can be made in person at the Accounting Office located on the 1st floor at Newport City Hall Monday thru Friday between the hours of 8:30 am and 4:30 pm.
 
After hour check payments can be put into an envelope. Please write Police Details, the event title and date on the envelope. The envelope with your payment can be put in the grey drop box located at the Bull Street entrance of City Hall.
 
We are unable to accept credit card payments at this time.
